There's been so much interest in job vacancies lately I couldn't resist
putting in my two cents worth. We currently have two records management
vacancies here at TRS. One is a supervisory position over our document
imaging team. The other is more of a para-professional position that would
involve work in the document imaging area as well as other parts of our
operation. The positions are described in more detail below.

JOB FUNCTIONS
Range of Responsibility: Provides complex records management technical
assistance and administrative support. Work involves researching,
correcting and reporting on indexing errors; performing quality control
review of scanned images; reviewing and correcting contractor billing
statements; compiling, maintaining and reporting on production data;
providing training and technical assistance to contract and MDS staff; and
providing administrative and general office support to the MDS Manager.
Work is performed under moderate supervision with some latitude for the use
of initiative and independent judgment.
Other essential duties include, but are not limited to:
* Researches, corrects and reports on indexing errors, including:
* Researching source documents and member account information to
determine the source of the error and the correct index code.
* Reindexing documents with the correct code.
* Maintaining a database and reporting on number of errors, types and
sources of errors and corrective actions taken.
* Reviews and reconciles billings statements from contractors,
including comparing billing statement to actual work completed and adjusting
bill for duplications, billing period, split batches and other sources of
errors.
* Performs quality control review of scanned images to ensure images
meet agency standards.
* Assists in developing new and revising existing departmental
policies, procedures and reference materials.
* Compiles production data, maintains databases and spreadsheets, and
prepares periodic and ad hoc reports and charts of individual and department
production activity.
* Provides general administrative support such as timekeeping,
maintaining files, and preparing and coordinating purchase requisitions.
* Performs related work as assigned.
MINIMUM QUALIFICATIONS
Education and Experience: Graduation from an accredited four year college
or university with a major in Records Management, Library Science, MIS,
Business Administration, Public Administration or a related area (or
graduation from high school or equivalent and four years of records
maintenance, records management or administrative support experience).
* One year of full-time, recent records maintenance, records
management or closely related experience.
* A graduate degree in Records Management, Library Science, MIS,
Business Administration, Public Administration or a related area may
substitute for the required experience.
Must also have the following demonstrated knowledge, skills, and abilities:
* Considerable knowledge of general office practices and procedures.
* Knowledge of basic records management concepts and practices.
* Skill in using computers with spreadsheet, word processing, database
and presentation software and applications.
* Skill in organizing, prioritizing and managing a high-volume
workload in a fast-paced and changing environment.
* Skill in effective written and verbal communications, including
preparing complex reports, policies and procedures.
* Ability to maintain harmonious working relationships with
co-workers, agency staff and external contacts, and to work effectively in a
professional team environment.
PREFERRED QUALIFICATIONS
Skill in using Microsoft Office 97 software. Knowledge of imaging
management theories, practices, techniques, rules and regulations.

JOB FUNCTIONS
Range of Responsibility: Performs supervisory and complex technical imaging
work. Work includes directing daily Imaging Team operations, supervising
Imaging staff, coordinating with contract staff, and performing routine
maintenance of imaging, indexing, microfilm and other records management
equipment and systems. Assists the Benefit Records Manager with developing
and implementing department policies and procedures, planning new technology
purchases and coordinating with vendors. Work is performed under general
supervision with considerable latitude for the use of independent judgement
and initiative.
Other essential duties include, but are not limited to:
* Supervises Imaging Team operations and staff, including:
* Hiring, directing, monitoring, evaluating and motivating staff.
* Monitoring work flow and work processes, and taking corrective
actions as needed to ensure that all operations are covered, and

* Ensuring compliance with applicable imaging policies, procedures,
rules and regulations.
* Performs routine maintenance and repairs to document
imaging/indexing, microfilm/fiche and other records management equipment;
coordinates with MIS staff or vendors for more extensive service or repairs.

troubleshooting system software and hardware problems.
* Coordinates with and monitors vendors and contractors to ensure
service is appropriately delivered; reports any problems or concerns to the
Benefit Records Manager.
* Assists the Benefit Records Manager in evaluating applicability of
new automated systems, equipment, software and other technology for agency
use.
* Assists the Benefit Records Manager in analyzing and evaluating
current imaging policies, procedures and processes, and in developing and
implementing recommendations for improvements.
* Maintains knowledge of current and new developments in imaging
regulations, theories, practices and technology, through professional
reading, professional associations, seminars and conferences.
* Trains and advises Imaging and other agency staff on imaging
policies, procedures, processes, technology, issues, trends and

MINIMUM QUALIFICATIONS

* Skill in verbal and/or written communication of complex information
to people with varied levels of technical knowledge.

PREFERRED QUALIFICATIONS
Two years of experience in a supervisory capacity at a high volume document
imaging or microfilm operation. Experience with and considerable skill in
operating, troubleshooting and performing routine maintenance on document
imaging, indexing and microfilm/fiche equipment, and related software and
computer systems. Skill in using Microsoft Office 97 and Filenet software.
Knowledge of imaging management theories, practices, techniques, rules and
regulations. Certification as a Certified Records Manager (CRM).
