Subject: Electronic records storage
Help!!! I'm the records manager for a Kentucky based corporation and I've
been asked to provide my IT department with the "preferred" requirements
for storing electronic records. An example of what they are looking for
Let's say we receive paper invoices and every month we optically scan
them into our computer system. All of the scanned invoices for an entire
month are captured onto an optical platter. Next month, all of that
month's invoices will be scanned and captured onto another optical platter.
This procedure continues month after month. Invoices will be the only
records stored on the particular optical platters. When the retention
period has been satisfied for a month of invoices, the entire month of
invoices will be destroyed at one time. This procedure occurs every month.
My question is, can we capture these invoices on DASD (Direct Access
Storage Device) storage and still meet the "best evidence" and
"credibility" standards and any other standards within the judicial system?
I realize a non-erasable media as opposed to an erasable media would
be preferred, but does it need to be a non-erasable media? Are there any
regulations regarding how electronic records are to be stored?
