Ginny:  Here is some background which I should have included in the
initial post.

Every day we generate approximately 6000 pages of billing registers and
spend approximately $3,500 a month/$42,000 a year generating COM.  The
recommended legal retention is 6 years but they are kept indefinitely
(not my recommendation) because sometimes they look something up that is
10 years old.

The main reason the computer data is converted to COM is for vital
record backup. Another reason is some of the staff do not like to use
the computer to view the information.

Which brought up my question to the list.  We are studying the different
options including COM.  Is COM even required? Is there a better way?  Is
paper or COLD cheaper?  Is it cheaper to maintain the data on magnetic?


I would think it would be less expensive to keep the data on the
network, use magnetic as backup and follow the legal retention.  I think
I answered my own question.  Don't produce COM, use the backup copy as
the vital records copy and save $42,000 a year.

I'm confused on what you mean by solutions.  There's paper of course.
COM
takes computer data in human readable report form and writes it to
microfiche.  COLD takes computer data in human readable report form and
writes it to optical disk, compact disk, RAID, or an SQL server for
direct
or web access. These three methods cover everything from hard format to
on-line access. I can't think of any other means of producing the human
readable reports for access by a user.

Are there any other solutions to COM other than COLD?  Does anyone have
a needs/requirements they are willing to share for this replacement?
