Hello,
?
I'm new to this list as well as new to the field. I really don't
have a lot of experience in records' management. My goal is to learn as
much as possible and apply it to my job. I work for the county government
in the appraiser's office. I'm the record's specialist for administrative
but my goal for this job is to combine all records into one area not 6-7
different area and cut down on duplicates.
This is pertaining to Mary's question about using MS Access. I'm
using Access to track all paper mails that we receive and where they are
distributed as well as type. In my opinion, I think we need a better system
that can manage the files better with retention dates, and store all kinds
of media in it. I'm also in the process of trying to come up with some
proposals to suggest a rm software, and ideas in how to be more efficient
with the files, cut down on supplies and time in finding files. Right now,
it's the main goal because we can't find half of our files and end up making
at least two to three copies of each. If you have any suggestions, please
feel free to let me know. Thanks.

Do any of you use MS Access for handling FOI/Public Records Requests and
their paper inventory?

Humor is good, but know your audience. My last thought on this whole thread
is that you need to appeal to the business side of the equation. You must
talk dollars and cents or pounds and shillings. We as RIM professionals have
to realize that we are overhead and contribute nothing to the bottom line. I
like to approach the subject of purchasing or raises with the opening line
"We can cut costs [X amount of dollars) and speed up production (X amount by
percentage) if we do the following." Right there you will have their
undivided attention. I like to break everything down into segments with
timelines. The quicker you can demonstrate ROI (return on investment) the
happier they will be. Good luck on your endeavors as there has been a number
of excellent suggestions made on this thread.
