In addition to the previous suggestions, you may also need to consider what happens to incoming paper. I have worked on a project or two that involved up-front scanning, QC, and routing of these materials, and the disposal of the paper after a relatively short period of time.

Seriously, you can attempt to streamline all of the business processes you want. But IMHO until you remove the ability to print (printers, copiers, fax machines, multi-functional, etc.) you will never get to the paperless office. I've read about a number of initiatives that talk about going paperless (you can search the listserve archives for discussions on this very topic) but I haven't come across one that has been totally effective or successful. Paperless means the removal of photocopiers, laser printers, fax machines, file cabinets,..... i.e., all paper-making devices and paper storage containers. Replacing them with MFPs may help but the fact that many business processes will be greatly impacted, means that change will be difficult. The retention policy schedule and related information is a record, to be scheduled and retained/dispositioned like any other. The fact that it is electronic is not pertinent to the retention and disposition.

We retain the signed paper original permanently and the electronic versions (available on our intranet) are just active (superseded).

Here are a couple of examples from the public realm of agencies (first example Federal and the second from the Commonwealth of Virginia) where schedule retention is not permanent.

I will mention, and have not researched, whether the schedules are retained longer, or on a permanent basis by the approving authority (NARA or LVA), but at least in the case of the Library of Virginia I would assume they abide by their own schedule as they are also an agency of the Commonwealth. Onsite shreeding and Federal regulations

Can anyone help me to sort that out. I want to know if the HIPPA or the Obamacare requires from a company doing business with the Federal to have onsite shreeding for the destruction of records.
