Hi Katie,

Full disclosure: I have experience with Innovative Educators in a variety of capacities. I have done webinars for them and I have also recorded a few of the Student/Tutor Lingo videos. More importantly though, my institution uses their "products." Our tutor training program uses Tutor Lingo, for instance. First, they are WONDERFUL to work with--no pressure. They are passionate about what they do and really just want to support us and our work. They are educators just like we are. You really feel like Innovative Educators is part of our community working with us in partnership. I have worked with them since they started the company and my students like their produces. I use them in our FYE, our Advising and Learning Assistance areas. Feedback on student evaluations are largely positive. What can I say? Worth it!

Hi Megan,

Like many other Writing Centers, we do not provide faculty with names of those who visit us. The request for verification must come from the student. I think this encourages communication between student and faculty which is as it should be. If a student asks, we provide a purple slip that is filled out by the tutor explaining what assignment, course and strategies were discussed at that session. The tutor signs it and gives it to the student to give to his/her faculty member. No FERPA issues!

I apologize if this subject has come up often but I've had trouble finding what I'm looking for in the archives. I was wondering if those of you who coordinate tutoring/tutor centers provide the names of students who come for tutoring to their faculty members. If your center has a clear written policy either way, would you be able to share it with me?

We do not provide faculty with names but are happy to work with faculty and students when it comes to best supporting the student. However, we have had an increase in the number of faculty who are asking for the names and we are trying to get a sense of best practices and what might work best for everyone involved. For example, if you do share the names of students who come in for tutoring with their faculty, how are students made aware of that?

We use WorldWideWhiteboard from Link-Systems (https://www.link-systems.com/content/worldwidewhiteboard). It keeps recordings of sessions (both the chat log and the board itself), which you can review either in movie mode or as an image.

It does not integrate with TutorTrac (they offer their own whiteboard product). It has its own built-in scheduling component (I think), but we use TutorTrac to schedule our sessions. WWWB does integrate with Blackboard and other LMS's through SSL.

We allow up to two hours per week, per course, per Center, with an additional hour for students from identified populations (or pretty much anyone who asks).

I'm not sure how you would regulate "per paper"--it seems like that would be labor-intensive.

We do share with the instructor of record (using automated reporting in TutorTrac), unless the student specifically requests that we not do so.

Our view of FERPA is that the course instructor is, by default, one of those persons identified by 99.31(a) of the Act:

"An educational agency or institution may disclose personally identifiable information from an education record of a student without the consent required by 99.30 if the disclosure meets one or more of the following conditions:

"(1)(i)(A) The disclosure is to other school officials, including teachers, within the agency or institution whom the agency or institution has determined to have legitimate educational interests."

On the other hand, I actually was not aware that TutorTrac had an "opt-in" checkbox option. I may investigate this in the future.

The truth is, most instructors couldn't care less. They delete the email every week without a glance. Some do read the emails; a smaller number give extra credit for tutoring attendance. A very, very small minority find some way to punish students for making use of our services.

Hello,

I apologize if this subject has come up often but I've had trouble finding what I'm looking for in the archives. I was wondering if those of you who coordinate tutoring/tutor centers provide the names of students who come for tutoring to their faculty members. If your center has a clear written policy either way, would you be able to share it with me?

We do not provide faculty with names but are happy to work with faculty and students when it comes to best supporting the student. However, we have had an increase in the number of faculty who are asking for the names and we are trying to get a sense of best practices and what might work best for everyone involved. For example, if you do share the names of students who come in for tutoring with their faculty, how are students made aware of that?

Thank you all for your thoughtful responses. For some reason I stopped getting messages from the List serv after I posted this question, so I've just read them all on the archives.

To respond to a question, no, the few times I've been asked this semester, it has not been for extra credit.

Also, I didn't realize TutorTrac allowed students to answer whether or not it is ok to share information about their tutoring session with anyone. And, I like the idea of a form.

I have a lot to think about based on your responses to my question. Thank you again!

This is an interesting thread. We don't currently have a limit, except that we discourage back-to-back appointments for the same course with the same Tutor. I don't believe I would ever revoke a student's privilege to Tutoring based on misuse of the service. If they begin not showing up for scheduled appointments, I cancel the series and email the student that they are welcome to reschedule if needed. We've not had disciplinary issues that would warrant dismissal from our Tutoring space.

However, we do try to keep all of our appointments under 45 minutes.
Customer Service Assistants and Managers gently remind Tutors and Clients when they've reached 45 minutes for several reasons:

   1. We try to maintain a fluid current of traffic in Walk-In
   2. Clients often get more frustrated or are less engaged after 45 minutes
   3. In the past, Tutors felt time was not spent productively because
   students would come in and hold up a Tutor all night, almost as a homework
   buddy

Do you have similar limits in your centers? How do you bolster clients reception of these limits?
