I’m Kelli Listenbee, Director of Learning Support Services at Arkansas State University. Our school onboarded with Penji last Summer and we have no regrets. On our campus, we have nine different tutoring centers that all fall under different departments/colleges, but we decided as a cohort to use Penji. Students can access assistance from any one of our centers within minutes.
Each of our centers has been able to customize their administrative dashboard to make the application work best for their center, but we’re still able to report and assess cumulatively. The team at Penji didn’t sell us a one-size fits-all program. The engineers at Penji have worked closely with all of our directors to make sure that we have the functionality we need to be successful which means something a little different for each of our centers.
We went from using 3-4 different platforms to using only Penji. This has streamlined work for our tutors, and our center directors, and has made the entire tutoring process more seamless for our students. Now, we can; schedule appointments, host sessions, live chat with students, follow-up with students, and assess a tutoring session (from both the student and tutor perspective) all within Penji.
In academic year 19-20, my center (general education tutoring) was entirely drop-in. Because of the pandemic, we transitioned to an appointments-only center for academic year 20-21. Using Penji made this so much easier than I could have imagined. It takes me a couple of hours at the beginning of each semester to set Penji up with our courses, tutors, etc. and then we’re set. It’s easy to make changes to, as everything is done through csv files.
Penji has given both our tutors and our students a lot of autonomy in scheduling tutoring sessions, which we’ve liked. Our efficiency in tutoring has increased significantly because of Penji, allowing us to offer the same number of tutoring sessions that we did in the previous academic year at half of the cost because of our appointments-only model. In the coming academic year, we’ll be re-introducing the drop-in model which Penji is working with us to set up. The kiosk model that they have for drop-in sessions will allow either our tutors or a desk assistant to manage students in an online waiting room of sorts until a tutor is available to see them (for in-person drop-in).
The thing that has probably surprised us most about working with Penji is how open they are to our feedback. They’ve given each of our requests serious consideration, and they’ve either implemented the changes requested or prioritized our requests into their short-term and long-term planning. They’ve acted in a consulting capacity that we didn’t anticipate. We’re able to leverage their experience with other schools to make changes or implement pilot programs at A-State that we may not have thought of on our own.
The Penji team is accessible, and I never wait long to hear back from them.
There are a couple of things that we are waiting on. Some of our center directors want tutors to have slightly less autonomy than Penji allows for, specifically when it comes to their calendars. Right now, tutors input their own availability into Penji. Penji is working to build different levels of administrative access to give directors the ability to input tutor hours. I personally like that my tutors input their own hours and this has allowed increased accessibility for my center, as I’m still able to limit the number of hours that a tutor can tutor. For those center directors who like to create their center’s schedule, they give the tutors their designated hours and the tutor must input only those hours of availability in the calendar. From what I understand, none of our center directors have had tutors take advantage of their calendar access this year, so it really boiled down to this being a preference and not a necessity as far as requested changes go.
We’re also waiting for multiple calendars to exist. Right now, if a tutor is available in multiple locations (i.e. online and in-person) their availability is listed as such with no way for us to designate times that are strictly for online or strictly for in-person for those specific hours (unless the tutors entire calendar is restricted to only online or only in-person). However, our tutors have access to live-chat within Penji and can communicate with students about whether they’ll be available online or in-person for the time that the student requested. Most of our tutors have the flexibility to be either online or in person at any time that they’re on the schedule, so this hasn’t been a very big deal.
Both of these kinks are action items that Penji is working on.
We’ve been able to make nine center directors happy with this singular application. We’ve increased accessibility to tutoring, and have seen significant usage of Penji across our campus. Our students have had a very easy time adapting to the use of Penji to access tutoring. Penji is already growing and adapting to changes that we’re planning for in the coming academic year, and I feel like the team at Penji is invested in the success of our program.
I can’t yet speak to the drop-in model since we won’t implement this until Fall, but we’ve spent a year with Penji now, and I’m happy to try and answer any specific questions you might have.

Our department is a very long-time TutorTrac user (seriously – over 10 years). We are exploring other options and one of them in Penji. Is anyone using Penji? We are curious about any feedback you have. Likes/dislikes? How is it for drop-in centers vs appointment based?
