RECORDS ANALYSTS II, FULL TIME
OFFICE OF THE CITY CLERK

DUTIES
Acts in a lead capacity in filing of City of Birmingham documents and
trains personnel in proper filing procedures.  Conducts records
inventories and makes recommendations concerning file organization,
retention, destruction and microfilming of films.  Trains clerical
staff
in City filing procedures.  Assists in writing procedures for file
manuals and works with the department in implementing these
procedures.
Reviews and audits operation for adherence to established retention
schedules, procedures and regulatory requirements.

DETAILS OF DUTIES
1. Acts in lead capacity to file clerks in receiving, sorting, coding
and filing city documents              and trains inexperienced
personnel in proper file procedures.
2. Conducts records inventories, analyzes information and determines
action to be taken in              organizing filing systems.
3. Establishes preliminary retention schedules from inventory acquires
proper approvals and              presents to the State Local
Government
Records Commission.
4. Makes recommendations to department managers concerning
organization,
retention,             destruction, and microfilming of files. 
Prepares
preliminary file procedures for department              manager and
has
approved before implementing file organization or reorganization.
5. Audits files for adherence to established file standards and
procedures.
6. Assists in writing file manuals and implementing these procedures.
7. Is computer literate and is able to operate computer with minimal
training.
8. Provides technical assistance to City Personnel concerning
standardization of file systems              and procedures.
9. Performs other duties as assigned.

EXPERIENCE
Minimum of three years experience in files organization,
reorganization
with the ability to present file plans to department managers with
tact
and be able to explain the reasoning for the approach taken to the
file
plans.  Good written and spoken communications.

EDUCATION
Minimum of a Bachelor's degree with courses relating to records and
information management.

HOURS AND BENEFITS
8:00 A.M. - 5:00 P.M. Monday - Friday.  80 hours biweekly at Grade 18,
with beginning salary ranging from $992.80 through $1,146.40 biweekly.
City of Birmingham benefits including health and dental insurance
provided.
