As a records manager or an archivist, how are you going to ensure that all of the electronic documents created today will still be able to be displayed and read tomorrow? It might have seemed easier to manage a file room filled with filing cabinets or a records center filled with boxes of records. Electronic records bring with them new problems that you never had to face in a paper based world.

Electronic storage media degrades over time. File formats become obsolete. Electronic information can be stored virtually anywhere. The volume of information we are managing is not in gigabytes but in the exabytes. Think of the information housed in the Library of Congress. Now multiply that by 4 or 5 - that is what we are managing and will need to preserve. How will you manage and preserve your electronic information for generations to come?

PDF/Archive(PDF/A) is that sustainable file format that is device independent so you don't have to use the same computer, software or operating system to read a PDF/A file as was used to create the file. Each PDF/A file is also self-contained and self-documenting which means that it has all the fonts used to create the document and the metadata identified to describe the document. This means that your document will be displayed just as you intended for it to be displayed when you created it.

Want to know more about PDF/A and how your organization can use it to preserve its electronic documents? AIIM and the PDF/A Competence Center are providing a half day seminar on Friday, March 26, 2010 at the Doubletree Washington Hotel, 1515 Rhode Island Avenue, NW, Washington, DC 20005.
