Dear all,
                The Graduate School is about to launch an electronic version of the graduate faculty appointment process. This will be available through GIMS.  The Graduate School invites you to participate in the beta-testing of the system before we roll it out to production. We propose the testing period to end on Friday, May 4. The standard paper process that you already follow to set up graduate faculty appointments is still operational. However, if you choose to speed up the process somewhat for your department, save some paper, and want to help us in testing the new system, please follow the steps outlined below:

1.       Log in to GIMS.

2.       Click on the item called "Faculty Appointment" on the left menu - a new window/tab will open.

3.       Click on "Create New Application" on top of the screen.

4.       Enter the faculty UFID in the appropriate box and click the "Find" button. The faculty's name and other information will be pulled up from the UF Directory and UF Human Resources.

5.       Enter the Campus PO Box of the department.

6.       Select the faculty rank, primary department, and appointment type from the appropriate pull-down menus. Also type in the evaluative statement, and attach the curriculum vitae, and the PeopleSoft Employment screen (if applicable).

7.       Click the button "Submit and Print" - a new window/tab will open with a pdf version of the form you just entered. You must print the pdf and get the department chair's signature and the voting information once the vote takes place in the department.

8.       When you receive the form back with the above information, search for the faculty by entering the UFID and clicking on "Search Applications" at the top of the screen.

9.       Click on the "Edit" button at the bottom of the form and then enter the voting information.

10.   Select the Department Chair's approval or denial radio button.

11.   Click "Submit". An automated email now goes to the College office for approval. You can see the tracking information for this application towards the top of the screen.

Please note: You can see the tracking information for any application that you submitted towards the top of the screen at any time by entering the UFID of the faculty, and clicking on "Search Applications".
