Fall 2018 Degree Certification

For the Rest of the Term

Degree certification is our top priority for the rest of the semester. Please verify that your graduating students do not have any unresolved issues by checking your student discrepancy reports on GIMS (Graduate Information Management System), which you can find by:

1.      Logging into GIMS (https://gradschool.ufl.edu/gimsportal/gatorlink/portal.asp).

2.      Scrolling to “Department Data” on the main menu on the left side of the screen.

3.      Clicking “Reports” on the menu.

4.      Clicking “Discrepancies” on the pop-up menu that appears.

On the screen that appears in the right-hand panel of the screen, you can choose various report filters and types for running reports on various issues. Please note that report results include all your graduate students with issues, not just degree candidates. In addition, please review your students’ full records in SIS (Student Information System).

Unresolved Final Term Grade Issues

The Graduate School certifies degrees based on final term grades submitted by the time Grade-A-Gator closes at 12 noon on Monday, December 17, 2018. Please remind your faculty of the negative impact on your degree candidates if grades are not submitted by that deadline.

If you have degree candidates with unresolved final term grades, please remind them to reapply for graduation for Spring 2019 by the published deadline, Friday, February 1, 2019.

DEGREE CERTIFICATION

Your unit is responsible for evaluating degree candidates on their final term grades and for notifying your college of candidates that ought to be removed from the list. Remember: Your department’s requirements may be more specific than what your college and/or the Graduate School evaluates. Please find out from your college degree certification coordinators by what deadline you must make submissions to your college dean’s office. Final college degree certification occurs online and must be finished by 2 p.m. on Tuesday, December 18, 2018.

If you are a college degree certification coordinator and will not be available to complete the online degree certification transaction by that 2 p.m. deadline on December 18, 2018, 2018, please email Viki Solt ([log in to unmask]) your replacement’s name and contact information.

Degree candidate status verification letters

The deadline for Degree Candidate Status Verification Letters for students graduating Fall 2018 is Wednesday, November 28, 2018. Students certified on Wednesday, December 19, 2018 ought to be able to request a transcript from the Registrar’s Office as proof of their degree as early as Thursday, December 20, 2018.

ASSISTANCE FOR STUDENTS NOT GRADUATING

Our Graduate Student Records Office will resume help with issues not related to degree certification on Wednesday, January 3, 2019.

Planning Ahead for Spring 2019

GRADUATION CHECKS

It is critical that your department conduct graduation checks for students planning on Spring 2019 graduation, since departments and the Graduate School monitor different requirements.

ADMISSION TO CANDIDACY

SIS remains available for Admission to Candidacy data submission.

A reminder: You do not need to submit a registration adjustment for students enrolled in 7979 during the semester when they are reclassified as “9.” Doctoral students classified as “7,” “8,” or “9” may continue to register for 7979, but only students with a “9” classification can enroll in 7980 and have the course funded by the state or the university.
