Garza : https://kahoot.com/ 15:07:40 From Jake Chevrier : we use kahoot 15:07:41 From Lynell Williams : It's like a pub quiz and it's fun. 15:07:43 From Jake Chevrier : its great 15:07:45 From Dr. Soljane Martinez : Kahoot.com is an interactive game-show style quiz system. Participants use their devices as their “answer” bells. 15:07:47 From evewalker : They are super fun! 15:07:47 From Dr. Soljane Martinez : Free 15:08:20 From Sarah Mills : Kahoot is available as an app on Microsoft Teams as well 15:08:29 From Laura Repsher : great ideas! my students loved Kahoot! at our end of the year virtual celebration. 15:08:51 From Emily Ricker : Kahoot has worked great for us; we’ve used it for get-to-know-you trivia during our more informal tutor check-in sessions :) 15:09:06 From Laura Repsher : good question- Id love you use this too! 15:09:38 From Carleigh : We've been using LinkedIn Learning, but we haven't found anything related to Tutor Training - some great resoureces to support communication or tech skills 15:10:49 From Jenny Rowe : Is LinkedIn Learning free? 15:11:09 From evewalker : Hi, Gayle! We met at a conference once :) I agree that Canvas is great. We switched from BB last year. 15:11:10 From Carleigh : No, we have a subscription for LinkedIn Learning 15:11:22 From Emily Guetzoian : LinkedIn Learning is also great for tutors because they can add a badge/note to their LinkedIn page that they "finished" a course, so it's a little bonus prof dev for them 15:11:24 From Samantha Mallory : Is anyone using D2L to upload some prerecorded training videos? This is my first time using D2L 15:11:32 From Christie Kahil : Our university has a ‘subscription’ or whatever they call it. 15:12:11 From Carleigh : @Samantha - we use D2L for our LMS, and it's very easy to embed videos (YouTube, LinkedIn Learning, Desktop Mediasite Recorder) 15:12:35 From Carolyn Burnett : I am a strong proponent of interactive training. As I have been doing research in continuing this philosophy online and have found some online resources to help me. I have been watching some videos and trainings. Michelle Cummings with Training-Wheels, and Chris Cavert with Fundoing have some good resources for online team building and linking the concepts to connect with content. 15:13:01 From Christina Gonzalez : just wondering how is much is linkedin learning 15:13:58 From Carolyn Burnett : Last year I previewed the Tutor Lingo videos and they were better than others I have seen. However, there is a cost. 15:13:58 From mweaver3 : Has anyone used Tutor Essentials offered by TMS? 15:14:14 From Danielle Ebbrecht : We have used Tutor Essentials. I liked it very much! 15:14:21 From Jessica Robbins : We use Tutor Essentials! 15:14:23 From eapressler : Our campus had D2L several years ago before we switched to Blackboard. As I recall, you could upload and embed videos and other content in D2L. 15:15:07 From Cecilie Joyner : We used Tutor Essentials for the first time last year and we will be using it again. 15:15:08 From Judy Weaver : I’d love to hear examples of specific interactive activities people will do with their tutors online. 15:15:35 From [log in to unmask] : Edpuzzle is great for inserting questions directly into a video! 15:15:58 From eapressler : We are trying Tutor Essentials for the first time now. We like it, so far. 15:16:08 From Christie Kahil : Is anyone using Edjet or Thinkific to build training modules? 15:16:18 From [log in to unmask] : https://edpuzzle.com/ 15:16:28 From Jenna Trenberth : Our training (that I inherited) has always been primarily online in D2L, and there are embedded assignments in which the tutors have to observe, roleplay, interview an instructor, speak with the Executive Diversity Officer, etc. 15:16:37 From Jake Chevrier : "Handbook for Training Peer Tutors and Mentors" is a great resource 15:17:29 From Carleigh : Oops, I forgot to introduce myself: Carleigh Friesen, Red River College - Winnipeg, Canada 15:19:41 From Sara Halstead : @carolynburnett do you mind dropping in the chat some of the resources you spoke of? 15:19:48 From Sheila Coressel : Can someone talk more about edpuzzle? 15:20:03 From Sally Saleh : Carleigh, could you please share that YouTube video link? The one for experiential learning 15:20:11 From Keigh-Cee Bell : We will talk about Edpuzzle next! 15:20:53 From Sally Saleh : Or was it Carolyn? 😅 15:21:05 From Courtney : Does anyone have any advice for creating learning modules in Blackboard? I am teaching myself now but any tips or ideas are helpful 15:21:10 From Jenny Rowe : Yes, please, for the YouTube video link? 15:21:11 From Jenny Rowe : ! 15:21:16 From Elizabeth : Elizabeth DiMartino [log in to unmask] 15:21:39 From Barnard, Jean : Can someone put the discord group/link here? I heard abut this zoom during a call that happened the other day. (Thank you!) 15:21:48 From Carleigh : I believe this is the one Keigh-Cee mentioned: https://www.dropbox.com/s/i9vdlbl0kw5g3tm/06-09-2020%20Online%20Experiential%20Education%20Workshop%20by%20Rebecca%20Tedesco.mp4?dl=0 15:22:03 From Bahareh Kokabian : Carolyn, would you please put the youtube link? 15:22:37 From Keigh-Cee Bell : Here is the link for the Discord Server: https://discord.gg/y6Wstg6 15:22:50 From Keigh-Cee Bell : Thank you, Carleigh! I hadn't gotten to the link yet. :-) 15:23:09 From Carleigh : :) Happy to help! 15:23:10 From Lainey Graber : Hi all! For those who use Canvas and are looking to make pre-recorded videos interactive, Canvas Studio allows you to record or upload videos and create quiz questions throughout the video. Essentially, this would pause the video at a certain point and ask them a question. Quiz questions aren't always ideal, but they can help at least a little with engagement throughout the video. It will also track how far students get in the video. 15:23:11 From Barnard, Jean : Thank you! 15:23:19 From Lainey Graber : More info for Canvas Studios: https://guides.instructure.com/m/50736 15:24:41 From Chris : We have self-paced modules, do roleplaying, have practice sessions, and partner each new tutor with a mentor (experienced online tutor) on their shift 15:24:57 From [log in to unmask] : I can talk a bit about it 15:24:58 From Jenny Rowe : I’m sorry I missed which group that Elizabeth was from? 15:25:14 From Melissa Villalobos : Jenny--tutoring essentials 15:25:15 From Heidi Roberts : Elizabeth is from Tutor Matching Service 15:25:18 From Chris : ACTLA has online tutoring standards - www.actla.info 15:25:21 From Jenny Rowe : thx 15:25:23 From Keigh-Cee Bell : She is from Tutor Matching Service. They are responsible for Tutor Essentials and GoBoard. 15:25:49 From Brittney Smith (she/her) : Is edpuzzle free? 15:25:55 From Brittney Smith (she/her) : Thanks! 15:26:15 From bderr : Playposit is like EdPuzzle 15:26:38 From Jake Chevrier : Emily, does this have interactive abilities with linked in learning do you know, or is it specific to video hosting site like youtube or vimeo 15:27:15 From David Restrick : I'm starting to use a tool called Feedback Fruits. it is a paid service that our institution subscribes to, but is integrated with Canvas and allows for interactive documents, presentations, and videos 15:27:31 From Virginia Ledesma : great idea! 15:27:58 From Sara Halstead : I'd like to ask about how best to conduct scenario based training virtually? We thought about using breakout rooms in Webex or something similar but I'm interested in what others are doing. Our lead tutor often gives prompts and then pairs or groups attendees together and then comes back to the whole group to discuss. However, how can this best occur virtually? 15:28:02 From Emily Frederick : @Jake I haven't used linkedin learning so I am not sure 15:28:30 From Bruce Epps : Along the lines of incorporating reflection, we’ve successfully used KWLQ charts during training to track everyone’s engagement/learning. 15:29:15 From Erin Morrison : @Sara, we've been using breakout rooms in Zoom and that's gone really well for small group discussion. 15:29:31 From Carleigh : @ Sara Halstead - we haven't found a good way of doing this in WebEx, although I'm told the older version "WebEx Training" has that capability. We have a subscription to MS TEAMS as well, and that's where we've done breakout rooms 15:29:43 From Bruce Epps : BTW, KWLQ = what do you already know (about the topic), what do you want to know, what did you learn, and what questions do you still have? 15:29:51 From David Restrick : My whole training is asynchronous 15:29:55 From Learning Center Tutor : We do a mix of synch/asynch. 15:29:59 From Jenna Trenberth : Mine is asynchronous 15:30:00 From Lainey Graber : we are also doing a mix 15:30:04 From Christina Gonzalez : we use tutor lingo and face to face engagement but are going to move to blackboard to maintain a weekly activity 15:30:05 From Brittney Smith (she/her) : We’ll do a mix as well - keep up with CRLA standards 15:30:10 From Issac Garza : mix 15:30:11 From Emily Frederick : I wanted to ask if they are also planning trainings for other support programs like SI, and Peer-Assisted learning, and how are they planning on managing those 15:30:11 From Aris Griffin : We are planning to do a mix. 15:30:22 From Keegan Phillips : I'm thinking to do a blend, focus on asynchronous with lots of reflective assignments. Synchronous sessions will be offered workshop style most likely. 15:30:44 From Carolyn Burnett : The video - Zooming in: Deeper Facilitation In a Virtual Space https://www.youtube.com/watch?v=TQ1l1gocf6g&feature=youtu.be 15:30:46 From Bruce Epps : We’re doing a lot of asynchronous training now, and we have two partial days of synchronous training in late July. 15:31:06 From Megan Penyack : @Emily, I coordinate SI as well so I'll be doing that training online, too. 15:31:07 From Learning Center Tutor : I’ve clustered tutors according to schedule availability for synch — so not everyone meets in a single group. 15:31:38 From Carleigh : Keigh-Cee - have you thought of 'flipping the classroom' and having the students view the content in advance asynchronously followed by discussion groups? 15:32:34 From Claire Crane : I've been thinking of how to make my asynchronous training modules more interactive, and I found these videos on creating interactive Google slides interesting! https://www.youtube.com/watch?v=2oJT_CXLeGw&t=2208s and https://www.youtube.com/watch?v=qPP5vbZY3KE&t=2277s 15:32:42 From Keigh-Cee Bell : I have been considering that, Carleigh. 15:33:24 From Claire Crane : Has anyone used Hypothesis? (I read about it in Small Teaching Online -- it allows people to collaboratively annotate a PDF reading. Perhaps an alternative to discussion boards responding to reading.) 15:33:41 From Carleigh : We've also used PollEverywhere embedded into synchronous presentations (our tutors also deliver group workshops) - this could be a good lower-risk way of participating 15:33:44 From Brook : I use the Trusted 10 Exercise to increase self-awareness of bias. YouTube video outlines the process. https://www.youtube.com/watch?v=i_52T8ufdZM 15:33:52 From Christie Kahil : What kind of reading do you assign for diversity training? 15:34:00 From Learning Center Tutor : It can tough for them the first time! Really tough but essential. 15:34:20 From Carolyn Burnett : As I have been doing research in continuing this philosophy of interactive training online, I have found some online resources. I have been watching some videos and trainings. Michelle Cummings with Training-Wheels, and Chris Cavert with Fundoing have some good resources for online team building and linking the concepts to connect with content. 15:35:07 From Sally Saleh : Could someone please elaborate a bit on the bias/emotionally charged training more for those of us from overseas? 15:35:58 From Learning Center Tutor : @Sally — at my school, we focus on implicit bias and inclusivity, introduce the concept of intersectionality, et cetera. 15:36:28 From Learning Center Tutor : @Keigh-Cee — I love that you are doing it at all. 15:38:38 From Carleigh : Here's a Guide for Intercultural Competence & Diversity: https://rrclibrary.libguides.com/Intercultural_Competence_Diversity 15:38:40 From Sally Saleh : Thank you! That's a great explanation. But yes it sounds very challenging. Any recommended resources or approaches? 15:38:55 From Jake Chevrier : This is a great book for uncovering your unconscious bias: https://www.amazon.ca/Deep-Diversity-Overcoming-vs-Them/dp/1771130253/ref=sr_1_1?dchild=1&gclid=CjwKCAjwltH3BRB6EiwAhj0IUFGFjWe6gIkNmmSxnFv6pXfPBTwQ48bmi1sGQwotaxi9uMWycye5eRoCvIAQAvD_BwE&hvadid=208374265347&hvdev=c&hvlocphy=9000801&hvnetw=g&hvqmt=b&hvrand=13070596665709365737&hvtargid=kwd-303216861346&hydadcr=22428_9261604&keywords=deep+diversity&qid=1593113904&sr=8-1&tag=googcana-20 15:39:20 From Megan Penyack to Keigh-Cee Bell(Privately) : I'm reading/working through "Me and White Supremacy" right now--there are some good tips, references, and journal prompts. It's tough but necessary work. 15:39:45 From Carleigh : Here is an Anti-Black Racism Resource Guide: https://rrclibrary.libguides.com/Intercultural_Competence_Diversity/Anti_Black_Racism 15:39:47 From Lauren Hall : i would heavily recommend the NCLCA webinar on Bias Training that happened a couple weeks back. Abe Saunders from College of Charleston ran it. I don't know when the recording will be up on their site, but it's worth a look. 15:39:54 From Bahareh Kokabian : Thank you for all the great resources! 15:40:41 From Keegan Phillips : We did, but are adapting it into a series of Canvas pages / modules 15:40:47 From David Restrick : We have a handbook and it is a pdf that we email to all staff and is posted on our canvas course. 15:41:02 From Christina Gonzalez : Good idea to make an online handbook 15:41:05 From Lindie Perry : We have a digital employee handbook that we share on our LMS 15:41:09 From Learning Center Tutor : Same. We have both a Center stands guide and a tutor manual. We see it as a living document. 15:41:11 From Julie Radwanski : We have a handbook/training manual that is available in our Blackboard organization page 15:41:12 From Brittney Smith (she/her) : We have a training manual - they get physicals copies usually but it’s accessible through google drive folder 15:41:14 From dcondon : We update our Tutor Handbook about 2x yearly, and store it on Google Drive, as well. 15:41:15 From Claire Crane : I've been revising my peer consultant handbook and just created an Online Tutoring Handbook and PASS Handbook (group tutoring). I usually post the document on our Moodle page and have physical copies in the Writing Center and Tutoring & Learning Center. 15:41:25 From Bruce Epps : That was a big project for us last summer: we created a comprehensive student employee manual (Word doc). 15:41:32 From Samantha Mallory : Would anyone be willing to share a link to their handbook/manual? Would love to be able to reference a few for ideas 15:41:35 From Jake Chevrier : we do not have one, we host all our information on blackboard which tends to be more interactive 15:41:49 From Christie Kahil : We have a digital copy of our handbook that lives on our Slack 15:41:50 From Lauren Hall : i am developing a tutor handbook right now. i'm struggling! lol 15:41:54 From Jenny Rowe : Does anybody have any online tutor handbook docs they would be willing to share? I feel so overwhelmed with writing one right now. Any sharable manuals out there that I could adapt for my school! 15:41:55 From Jenny Rowe : ? 15:41:56 From Melissa Villalobos : I'd also love to see examples if anyone is willing to share 15:42:09 From Carleigh : FYI - we approach this 'bias' training as part of a bigger conversation around Diversity training - diversity going beyond culture or skin colour, but also intersectionality of sexual orientation, gender identity, physical and mental diversity (neurodiversity and disabilities) 15:42:13 From dcondon : I use Google Drive for just about everything! 15:42:15 From Carolyn Burnett : We have a handbook for our tutors both on the Google Drive and we give them a hard copy as well and create a tutoring notebook for our tutors to continue to develop over time. 15:42:16 From Learning Center Tutor : Could we perhaps create a collection of our tutor handbooks and Center standards docs? 15:42:18 From Gayle Clary : We have a tutor handbook both virtually and a hard copy for trainings 15:42:26 From David Restrick : We have Canvas at ENC and I was given the ability to add and remove individuals from my tutor training course. So that should be an option. 15:42:37 From Claire Crane : I'd be happy to share my current drafts of handbooks for those who asked! Email me at [log in to unmask] :) 15:42:41 From Christina Gonzalez : I would appreciate some sample handbooks. What should be in it, what shouldn't. I feel that ours is massive 15:43:00 From Claire Crane : @Christina I felt the same way about my handbook, so I just trimmed it a bit! 15:43:26 From Keigh-Cee Bell : I can create a digital handbook channel in the Discord server, if people wouldn't mind sharing some examples. I am happy to put mine in there. 15:43:31 From Christina Gonzalez : Does anyone use Microsoft teams for handbook or training 15:43:44 From Carleigh : We use our LMS for our training, but we're looking at making it more robust and adding other elements to it - would love to see other handbooks if anyone is willing to share 15:43:46 From Brittney Smith (she/her) : Discord channel for handbooks - great idea! 15:44:01 From Samantha Mallory : Thank you Keigh-Cee and Claire Crane! Can't wait to see them 15:44:11 From Carleigh : RE: Teams - we'll be using it as our 'hangout' space with our tutors rather than the LMS 15:44:45 From Learning Center Tutor : Same — ours are linked from our Google Drive to Slack 15:45:05 From Lauren Hall : Keigh-Cee - A channel would be great! Thank you! 15:45:35 From dcondon : Part of our CRLA training includes 4 hours of "independent training" that tutors complete prior to groups sessions. We use our handbook throughout the training. 15:46:09 From Melissa Villalobos : For those of you using zoom, does anyone do a zoom scavenger hunt? 15:46:40 From [log in to unmask] : This was our employee handbook for spring 15:46:41 From Brittney Smith (she/her) : Don’t do a zoom scavenger hunt now, but I’d like to! ^ 15:47:15 From Carolyn Burnett : I created a Jeopardy game to as a fun assessment regarding the knowledge policies and handbook information. 15:47:19 From Melissa Villalobos : Same! I feel like its a more engaging way for them to get familiar with the platform 15:47:42 From Richa Pokhrel : Is everyone having their services all online or is it a mix of in person/virtual? 15:47:42 From Brittney Smith (she/her) : Definitely (if anyone has a Zoom scavenger hunt and want to share it, please do! 15:47:48 From Molly : Our campus uses Moodle as an LMS. We asked our tech team to create a class for tutors. We can add students and remove them, as needed. All our docs live there and we are completely paperless.. the tutoring binder, FAQs, assignments we use as refreshers for returning tutors and new tutors. We're going to use a combo of this Moodle class and synchronous training in the fall. 15:47:56 From Gayle Clary : Passwords are helpful 15:48:00 From Brittney Smith (she/her) : We just decided today to do all tutoring online. 15:48:12 From Carly_Rastandeh : Hello, I am from Tarrant County College in Fort Worth Texas. We have a CARE team, so we are able to report to the college if a student is in need (emotional, financial) 15:48:17 From Carleigh : Good question, Keigh-Cee. We've focused on using backgrounds to hide personal details of homes; we have a 'no wrong door' policy that we should share with our students 15:48:28 From Carolyn Burnett : We used a campus scavenger hunt to help them to know more about campus resources. Now I am looking at using the university's virtual tour as the basis for doing the scavenger hunt. 15:48:40 From Julie Radwanski : No, thankfully! 15:48:54 From Lindie Perry : Not with our program, but one of our university's open labs was zoom bombed 15:48:55 From Heidi Roberts : We will do online tutoring this fall, with face-to-face tutoring available upon request to those who have specific needs that make online tutoring not ideal, and this will be based on tutor availability. 15:49:00 From Vanessa Natseway : Do you require your tutors to record all online sessions? 15:49:02 From dcondon : I am updating our general handbook and simultaneously developing an Online Tutor Handbook - as I view the video recordings of tutors, I am adding to the handbook. I am also having tutors complete self-evals via google forms - they need to view one of their sessions. I do an eval, then, and we are meeting on Zoom to debrief. 15:49:39 From Richa Pokhrel : To record sessions online at our center, students must sign a consent form beforehand due to privacy rules. 15:50:08 From Learning Center Tutor : @Vanessa — we did WANT to record until we discovered that most learners did not want to sign the release/permission at thee start of the session. So now, no we do not record. 15:50:25 From Lynell Williams : @Richa Pokhrel We are doing both. On-site will be by appointment only and online is drop-in + after hours access. 15:50:26 From Samantha Mallory to Keigh-Cee Bell(Privately) : How do I create a new channel in discord? I don't think I am using it right haha 15:50:36 From Sara Halstead : For those using a host to assign to breakout rooms, who are you having be the host? 15:50:58 From Melissa Villalobos : We plan on using our desk assistants 15:51:03 From Keyna W Wintjen : All tutors have been trained to act as moderator 15:51:11 From Keigh-Cee Bell to Samantha Mallory(Privately) : Is it your own Discord or the Learning Center Professionals server that you are trying to add a channel in? 15:52:00 From Samantha Mallory to Keigh-Cee Bell(Privately) : The Learning Center Professionals one. I see a button to add a server but not sure how to just add a channel 15:52:07 From Keyna W Wintjen : Not everyone wants to share their video, nor should they be expected to https://anygoodthing.com/2020/04/06/a-reminder-of-who-is-hurt-by-insisting-that-students-share-images-of-their-personal-lives/ 15:52:21 From Brittney Smith (she/her) : We have all of our students (tutees) sign a contract detailing expectations. They agree that the tutor has the right o ask them to leave (end a session) if there’s disruptive behavior/inappropriateness etc. 15:52:27 From Keigh-Cee Bell to Samantha Mallory(Privately) : Only I can add a channel to that server because I am the admin. You just have to request it from me. 15:52:55 From Brittney Smith (she/her) : Definitely recommend contracts with/without COVID 15:53:08 From Samantha Mallory to Keigh-Cee Bell(Privately) : Ohhh ok. Thank you!! I wanted to make a networking one and post the following: Does anyone want to great smaller networking groups for different regions? I work at Austin Peay State University in Tennessee and am originally from Kentucky if anyone in those states would like to develop and informal communication group where we could meet occasionally to exchange ideas 15:53:15 From Lynell Williams : @Sara Halstead Primarily our clerks, but supervisors are also trained for this and some tutors. 15:53:32 From Bahareh Kokabian : All the tutoring sessions need to be recorded. That will be announced at the beginning of all the sessions to avoid inappropriate situation. 15:53:53 From Hanouf Aljuhail - Learning Support Director : we do the same thing 15:54:03 From Sara Halstead : @Lynell Williams, are you able to offer this for all shifts, even evenings? 15:54:47 From Jake Chevrier : we have to remember too, we are not "working from home", we are "at home working". 15:54:52 From Carleigh : Could you not mandate GoBoard for your sessions for these types of situations? 15:55:24 From Carleigh : We have a pop-up that notifies like your suggestion Cecilie 15:55:42 From Melissa Villalobos : we are the science/math tutoring center. The writing center is under different leadership. Since they are not recording sessions, we want to be in line with their policies for consistency for students accessing academic support. 15:56:02 From Keigh-Cee Bell : I could mandate GoBoard, but we started with Zoom and some of my tutors are more comfortable with Zoom, especially for writing consultations, so I don't mandate they use one or the other. 15:56:03 From Megan Kissel to Keigh-Cee Bell(Privately) : Hi there! Thank you so much for hosting this and inviting everyone yesterday on the call. Will you be posting the recording of this session? I have to hop on another call in 5 minutes. 15:56:11 From Keegan Phillips : Our GoBoard account only records very few sessions. Does anyone else have experience with a similar issue? I still need to reach out to TMS support, but it would be good to know 15:56:12 From Keigh-Cee Bell to Megan Kissel(Privately) : I sure will! 15:56:12 From Megan Penyack : We have a statement on all materials that says it's being recorded. They have to be informed in advance. I also give them the option to contact me to discuss it further. 15:56:18 From Ibrahim A Al Hashidi : I have to attend another meeting. Thank you all for the valuable information! 15:56:33 From dcondon : We let students know in the confirmation booking email that sessions are recorded, and tutors are to remind them when GoBoard begins. We find the recording is a safeguard for both tutor and student (as the College, as well). 15:56:33 From Megan Kissel to Keigh-Cee Bell(Privately) : Thank you! Will that go to the DIscord server? I just joined yesterday. 15:56:45 From Carleigh : Our Messaging: Classes that are held using WebEx or Microsoft Teams can be recorded as permitted by Policy G4- Recordings which states that recordings can be made “in order to capture College learning activities for the purposes of retransmission for educational purposes but only where such retransmission does not retransmit information that is of a sensitive nature”. Class recordings made when students are, by necessity, participating from home have the potential to include more sensitive information about the student and their home situation. Accordingly, the College is adopting the following Guidelines: 1. Students should indicate that they have been informed that they may be recorded. a. On WebEx, students can agree to the recording by clicking on a pop up which appears before each meeting; b. On Microsoft Teams, Student should sign and return a consent in the form attached. 2. Students should be advised that they can opt out of being recorded by turning off their video and microphone. Students w 15:56:50 From Keigh-Cee Bell to Keegan Phillips(Privately) : I recommend reaching out to TMS for that. [log in to unmask] 15:56:56 From Carleigh : 2. Students should be advised that they can opt out of being recorded by turning off their video and microphone. Students who chose to opt out of recordings can participate in class through the “Chat” function. 3. Recordings cannot be shared with individuals outside of the registered students in that section of a class, i.e. only those eligible to participate in the class. 4. Recording should not be accessible to eligible participants after the course has completed. 5. Students should be informed about the College’s expectations around recordings. Any student with privacy questions or concerns should contact the College’s Privacy Officer, 15:57:11 From Brook : I have participated in the Ohio eTutoring Collaborative sponsored by the State of Ohio. All synchronous sessions are recorded automatically. Ohio is also a one-party state for recording so legally, if the school is Ohio we can record. 15:57:19 From Danielle Ebbrecht : @keegan-Our GoBoard account hasn't recorded sessions since March. I did reach out and Melissa said they were running behind and were trying to catch up. 15:57:29 From Sally Saleh : Zoom also has a "recording disclaimer" finction so we use that in addition to the email disclaimer 15:57:39 From Keigh-Cee Bell to Megan Kissel(Privately) : I share it on Discord, LRNASST, and the tutor networking Google group. 15:57:41 From Hanouf Aljuhail - Learning Support Director : yes 15:57:41 From Jessica Robbins : I feel that recording is also important for the sake of evaluating tutor performance. If I can't observe them in the session, it's hard to give them an evaluation at the end of the year if I have no idea what they've been doing in sessions (or if they've been attending, even). We use GoBoard, though, so all is recorded and only accessed by admin after the session is over. 15:57:48 From Hanouf Aljuhail - Learning Support Director : we use that function 15:57:52 From Keegan Phillips to Keigh-Cee Bell(Privately) : Yeah, I was definitely planning to! Thanks Keigh-Cee! I usually forget about the admin panel but I could see it being useful for evaluations and such. 15:58:03 From Brittney Smith (she/her) : I agree Jessica! 15:58:06 From Melissa Villalobos : Breakout rooms are not recorded 15:58:39 From Learning Center Tutor to Keigh-Cee Bell(Privately) : Are we starting a Discord channel on the existing server for tutor manuals/LC policies? I can help if needed. 15:59:22 From Lisa Mauney : I think Zoom got rid of the 40 minute limit after the pandemic kept going on. 15:59:24 From Keigh-Cee Bell to Learning Center Tutor(Privately) : I was going to add a text channel in the server. 15:59:37 From Learning Center Tutor to Keigh-Cee Bell(Privately) : Ok great. Thank you. 16:00:03 From Brittney Smith (she/her) : I don’t remember - can you do a breakout room in GoBoard? 16:00:09 From Learning Center Tutor : We use GoBoard for Maths/sciences/programming and Zoom for writing/reading. 16:00:16 From Jake Chevrier : Do you also get a signature from the tutors that allows them to be recorded? Just to cover you for that "in case" moment 16:00:25 From Julie Radwanski : I have to run to another meeting. Thank you, Keigh-Cee, for organizing this and to everyone for the great information! 16:00:47 From Lisa Mauney : We did 3 hours one night with 5 people. 16:00:49 From Gayle Clary : Thank you so much! 16:00:49 From Elizabeth : GoBoard does not have breakout rooms right now, but we are building the capability for fall launch. 16:00:51 From dcondon : I still get cut off after 40 minutes. 16:00:56 From Learning Center Tutor : Recording any session including training/meetings is part of our annual tutor agreement/contract. 16:00:57 From Brittney Smith (she/her) : Thanks Elizabeth! 16:00:58 From Bahareh Kokabian : Thank you everyone! This was great! 16:01:00 From AslihanOdeh : I think it is still 40 minutes 16:01:03 From Christie Kahil : Our IT department was able to get our tutors and SI leaders the better version of zoom, but I assume there was a cost involved for the univerrsity 16:01:30 From Jesse C. (Elkin, NC) : Thanks to everyone for sharing your experience. I have another meeting and need to leave. 16:01:30 From Brook : Believe it was unlimited through the end of May but I think they put it back in place. 16:01:57 From Nina : Same 16:02:21 From Sara Halstead : Does anyone have advice on training tutors to set appropriate boundaries within a virtual session? Boundary ex: setting a time limit with one student to be able to shift to helping another student. Our tutors really struggled with setting boundaries when they shifted online even though they were able to do it in person 16:02:53 From Dr. Soljane Martinez : Always thinking of students who need accommodations and Rev.com (transcription) has merged services with Zoom for live captioning of Zoom meetings. There’s currently a free trial happening. I believe it’s $20/month moving forward. 16:02:54 From Jake Chevrier : Breakout rooms would be great for group activities during training as well eh 16:03:03 From Learning Center Tutor : @Sara I have a script for that in our virtual tutoring manual I’ll share in the Discord channel. 16:03:11 From Carleigh : Messaging like "We have 50 minutes together, what would you like to accomplish today?" "We have 20 minutes lesft, do you want to continue talking about this, or is there something else you want to get done?" 16:03:43 From Lindie Perry : A screen timer that the student and tutor can see could be helpful 16:03:44 From Lynell Williams : This has been a good convo. I have to leave for another call. Thanks to all for sharing your ideas! 16:03:56 From Learning Center Tutor : We did a lot of session structure role-play in March and April to roll through our scripts and start to internalize. 16:04:08 From Keyna W Wintjen : We used break out rooms to create groups within training to do Think/Pair/Share activities. Then, we would come back to main room and debrief. 16:04:38 From Megan Penyack : Thank you so much!! This is so helpful. Thanks to everyone's thoughtful input and I look forward to future discussions. 16:04:42 From Dr. Soljane Martinez : https://app.getbeamer.com/rev/en/-its-rev-live-captions-for-zoom- 16:04:56 From Sara Halstead : Thanks @Keigh-Cee, our issue is with group tutoring appointments where multiple students are in one session 16:05:28 From dcondon : Students book for 1 hour appt, but tutors have 1/2 before the next appt begins, so if tech issues come up, etc., there is some cushion room. We are trying to get students to submit a simple form that gives the tutor a heads up as to their question, and upload a paper/assignment, if they wish. The preparedness helps the session to move more smoothly. 16:05:40 From Learning Center Tutor : Thank you so much for this conversation, everyone. I appreciate you, @Keigh-Cee. 16:06:03 From Debby : Thank you everyone. 16:06:32 From Hanouf Aljuhail - Learning Support Director : our on site sessions were 30 minutes to an hour but the zoom online sessions are 45 mnts in case there are any technical difficulties 16:07:20 From Melissa Ferreira : We have 30 minute appointments, but students can book back-to-back sessions if they think they will need more time. 16:07:44 From Erin Morrison : Thanks everyone, great ideas and I appreciate all of the resources shared today! :) 16:07:44 From Melissa Villalobos : Our online SI sessions often go over an hour. We've told out SI leaders to plan for one less activity so that they end on time. More often than not, they go over by 10-15 minutes 16:07:56 From Sara Seefried : We gave a buffer time for online appointments. We set appointments 75 minutes apart just in case. 16:08:00 From Vanessa Natseway : We do 45 min sessions with appointments only scheduled on the hour to allow for any difficulties or to allow tutors to do paperwork in between if necessary, go get a drink of water and stretch, etc 16:08:04 From Nina : So our on site sessions are 45 mins but because we're not as busy we don't mind, and almost encourage, tutors to go over if required. 16:08:32 From Donna Russo : Thank you everyone. Again, lots of good take-aways from your conversation today. 16:09:00 From Brittney Smith (she/her) : Our sessions are 50minutes so students can transition between classes. We emphasis “beg, middle, end” of session in training with some good scripted statements. 16:09:17 From Diane Donovan - Norwalk CC : So helpful. Thank you! 16:09:41 From Sara Halstead : Does anyone have specific strategies that have worked well for their tutors to move between students in a group session with 2-4 students (or more) per tutor? Our tutors who could handle 6-8 students in person and "leap frog" between students in person really struggle in the online environment 16:10:58 From Brittney Smith (she/her) : @Sara - we also do small group tutoring but it sounds like the difference for us is that the tutor facilities a group learning session, rather than tutoring 1:1 in a group. So they’re all working together 16:11:19 From ... . to Keigh-Cee Bell(Privately) : Hi, Keigh-Cee. Would you please send me a copy of the chat so that I can reference later? I appreciate it. I have to leave for another meeting. Thanks for all your work. 16:11:23 From Brittney Smith (she/her) : Not sure if that’s a vision you see for your institution but I’d be happy to chat more if it is! 16:11:49 From Emily Frederick : @Celeste are you available for me to reach out to you about your program at a later time? 16:12:24 From Sara Halstead : thanks @Brittney, I think we will have to re-evaluate how we do "group tutoring". Would you be willing to have a separate conversation about how you facilitate the group learning session? 16:13:11 From Hanouf Aljuhail - Learning Support Director : Staff observe & pop in on sessions , all invites are sent since appointments initially made on TutorTrac. it's not just to monitor, it really helped in knowing which tutor was doing well or in need of our help. recording to cloud also is there for us to evaluate. 16:13:41 From Rosario : I often do drop-in observations for the SI sessions. The SI Leaders have a one specific room they use for their assigned course and I keep an excel of those rooms and session times. Afterwards we discuss tips for future sessions, and it's been really beneficial for them. 16:13:52 From Suzanne Rousseau : @Brittney I would love to get in on that conversation as well if possible 16:13:58 From Brandon Pokarney : @Brittney I would also like to hear more about how you set up group tutoring. 16:14:00 From Suzanne Rousseau : [log in to unmask] 16:14:23 From Brittney Smith (she/her) : Absolutely Suzanne/Brandon 16:14:56 From Carleigh : Great point, Lindie - also allows for peer-peer mentoring 16:17:45 From Keigh-Cee Bell : That is a GREAT question. 16:17:49 From Sara Halstead : YES!!! @Jake that is our big issue, we say group tutoring and our students tune us out after that 16:18:11 From Carleigh : Jake - we provide group tutoring through our staff tutors; peer tutors do 1-1 tutoring. Our Staff Tutors only do 1-1 tutoring in the case of diagnosed diabilities or counsellor referrals 16:18:19 From Carleigh : Our Student association supports our Peer Tutoring 16:20:35 From Brittney Smith (she/her) : I’ll organize a group tutoring tutoring chat so if anyone else is interested let me know! 16:21:05 From Christie Kahil : I would be interested in discussing group sessions! 16:21:17 From Keigh-Cee Bell : Brittney, would you like me to put it in the Discord server? Or would you prefer to manage it on your own? 16:21:22 From Brook : Brittany, please add me to the group. [log in to unmask] 16:21:48 From Brittney Smith (she/her) : Oh yeah discord server is a great idea! I’ll put a note in there and also collect these emails here 16:21:54 From Jenny Rowe : please add me and a colleague to the group: [log in to unmask] and [log in to unmask] 16:21:55 From Jenny Rowe : thx 16:21:56 From Vanessa Natseway : If you could put it on Discord, that would be great so it's all in one place 16:22:13 From Keigh-Cee Bell : I will go ahead and add a text channel for group tutoring when this is over! 16:22:15 From Lisa : Please add me: [log in to unmask] 16:22:18 From Carleigh : @Jake - fellow Canadian here. We're able to share aggregate results. ie: 3 students from Electrical Engineering joined our workshops. etc. 16:22:35 From Stacy Puckett : please add me as well ... [log in to unmask] 16:22:36 From Nancy : Please add me: [log in to unmask] 16:22:38 From dcondon : We will not release info, unless the student allows, or it is clear to students via in the class, or the tutoring is embedded, or a security issue - students receive a "summary session sheet" that they can give to the instructor if they wish. 16:22:50 From Hanouf Aljuhail - Learning Support Director : thanks everyone 🙏 very helpful session 16:22:54 From Sarah Mills : Can you link the discord server? 16:22:57 From dcondon : Thank you so much Keigh-Cee and Everyone! 16:22:59 From Lauren Hall : Keigh-Cee: Are you going to make a handbook channel too? 16:23:13 From Lauren Hall : Awesome! You're the best! :) 16:23:14 From Christie Kahil : Our data feeds into a central database, so professors can look up students for themselves 16:23:15 From Jessica Robbins : Brittney, I'd love to be involved - [log in to unmask] 16:23:20 From Emily Frederick : I would like the discussion as well! [log in to unmask] 16:23:23 From Jenny Rowe : that would be great! i have no idea what a Discord server is!!! 16:23:31 From Sally Saleh : Should we write our email addresses here so you can send us the chat copy? 16:23:32 From Jake Chevrier : What a fantastic group of people 16:23:46 From Claire Crane : Thanks so much, everyone! And a huge thank you to Keigh-Cee for the Discord server! 16:24:00 From Emily Frederick : how do we join that google group? 16:24:01 From Jennifer Fenton (she/her) : Thank you so much for a helpful session! 16:24:03 From Keigh-Cee Bell : Online Tutoring Pedagogy Discussion: Wed.
